Connecting Your Email Inbox

Three ways to get registration emails into OPVII: forwarding, a Microsoft 365 sign-in, or IMAP.

Last updated October 22, 2026

OPVII reads your registration confirmations out of email. There are three ways to arrange that, and which one you need depends on who hosts your mail. Everything below happens on one page: click your avatar in the top bar, and under Workspace click Connections.

Which Route Do You Need

  • Forward Email works everywhere and needs no sign-in. Start here unless your mail is a Microsoft 365 business account.
  • Microsoft 365 is for business accounts on your own company domain. Microsoft blocks forwarding outside your company by default and no longer accepts a password over IMAP, so signing in is the only route that works.
  • IMAP Mailbox has OPVII log in to your mailbox on a schedule and pull messages. Use it for Gmail, iCloud, Yahoo, Zoho or any generic mailbox when you would rather not set up a forwarding rule.

The Connections page detects who hosts your mail and recommends one of the three for you, in a line starting Your Email Is Hosted By. The three picker buttons are Forward Email, Microsoft 365 and IMAP Mailbox.

Route A: Forward Your Emails

  1. Stay on the Email Inbox tab. Find Forward Your Emails, badged Default and Always On.
  2. Under Your Private Forwarding Address is your address. It looks like a long random token followed by @in.opvii.com.
  3. Click Copy Address. The button changes to Address Copied.
  4. In your own mail program, add a rule that forwards registration confirmations to it. Do not forward everything: filter on the sender address your registration platform uses, or on a phrase from the subject line.
  5. Forward one message by hand, then open the Arrivals tab to confirm it landed.

For step-by-step instructions for your own mail host, use Setup Guides lower down the same page. There are walkthroughs for Gmail, Outlook, Apple Mail, iCloud Mail, Yahoo Mail, Zoho Mail, GoDaddy, cPanel, Plesk, DirectAdmin, SmarterMail and generic IMAP.

Who Is Allowed To Forward In

Your address is private, and OPVII keeps a list of who may use it under Who Can Forward To This Address. Anybody at your business domain is allowed automatically, because you verified your own address when you signed up. To add an assistant, a second office domain, or the ticketing service that emails your confirmations, type the full email address or the bare domain into the box and click Allow Sender.

Anything from a sender that is not on the list is listed under Turned Away Recently rather than discarded quietly. Each row offers Accept And Import, which imports that message and allows the sender from then on.

New workspaces start in monitor mode, shown as a Watching, Not Blocking Yet banner. Nothing is actually refused yet; the list shows you what the rule would stop. Check it holds only strangers before asking support to switch enforcement on.

The Gmail Trap, Read This Before You Start

Google will not forward anywhere until the destination proves it wants the mail, so it emails a confirmation code to the destination. The destination is OPVII, not you. People sit in Gmail's settings waiting for a code that already arrived somewhere else, and the setup stalls there.

OPVII catches that message and hands the code back to you. When one is waiting, the Connections page shows a panel titled Gmail Is Waiting For A Confirmation Code with a Copy Code button and a Confirm In Gmail link. Use either one and Gmail will show the address as verified.

Route B: Connect Your Microsoft 365 Mailbox

This is the panel titled Connect Your Microsoft 365 Mailbox, badged No Forwarding Rule Needed.

  1. Click Connect Microsoft 365. You are sent to Microsoft's own account picker and consent screen.
  2. Sign in with the same email address and password you use for Outlook, and approve the request. OPVII asks only for permission to read mail, and stores a sign-in token rather than your password.
  3. You come back to the Connections page. Under Which Emails To Read, narrow it down: put the address your confirmations arrive from into From Address Contains, and a phrase from the subject into Subject Contains. When Both Are Filled In decides whether a message has to match both or either one. Folders To Check offers Inbox Only or Inbox And Junk Email.
  4. Click Save Settings.
  5. Click Check Now. Any recent confirmations already sitting in your inbox are imported on the spot.

Nothing changes in Outlook, no rule is created that your organization can block, and you can disconnect at any time from the same panel.

Route C: Connect A Mailbox Over IMAP

  1. Find the panel titled Connect A Mailbox (IMAP), badged Automated Pull, and click Add Mailbox.
  2. Fill in the dialog titled Add A Mailbox. IMAP Host, Port, Username / Email and Password are required. Nickname (Optional) is just for you.
  3. Encryption offers SSL, TLS / STARTTLS and None. Port fills itself in when you change it: 993 for SSL, 143 for the other two. For Gmail, iCloud, Yahoo, Zoho and most hosts, port 993 with SSL is correct. If that will not connect, try port 143 with TLS / STARTTLS.
  4. Click Test Connection before saving. A success reads like Connected. INBOX has 128 message(s).
  5. Set Inboxes To Check. It defaults to INBOX, and there are quick-add chips for INBOX, Gmail Spam and Junk.
  6. Set How Often To Check. The default is Every 15 Minutes.
  7. Under Which Emails To Import (Rules), add at least one rule so OPVII only reads your registration mail rather than your whole inbox. A rule is a field (From Address, Subject or To Address), a comparison (Contains or Is Exactly), and a value. With no rules at all, every message in the folder is scanned.
  8. Click Connect Mailbox.

You should see IMAP Mailbox Connected. Click Fetch Now on the saved mailbox to pull straight away instead of waiting for the schedule.

Gmail And iCloud Need An App Password

Your normal account password will not work. For Gmail, turn on 2-Step Verification, then create an App Password at myaccount.google.com under Security, and use the 16-character password it shows you. Google shows it once. iCloud works the same way with an app-specific password. For most cPanel, Plesk and DirectAdmin accounts your regular email password is fine.

Your password is encrypted the moment you save the mailbox, is never stored in plain text, and is not visible again afterward.

How To Tell It Worked

  1. Open the Arrivals tab. Every message OPVII has taken in is listed with what became of it: a count of registrations and contacts created, or the reason it could not be read.
  2. Open Events, click the event, and check the Roster tab for the person.
  3. Open Progress and confirm they are standing at a stage with a scheduled next send.

If Something Goes Wrong

The Forward Bounces With An External Forwarding Error

A bounce reading 550 5.7.520 Access denied, Your organization does not allow external forwarding means the account is a Microsoft 365 business account. Microsoft blocks that by default and it is not something OPVII can change. Use Route B instead; it is not affected and needs nothing from your administrator.

Gmail Will Not Verify The Forwarding Address

It is waiting for the confirmation code described above. Look for the Gmail Is Waiting For A Confirmation Code panel on the Connections page. If it is not there yet, wait thirty seconds and reload.

Mail Arrives But Is Turned Away

The sender is not on your allowed list. Add it under Who Can Forward To This Address, or click Accept And Import on the row in Turned Away Recently.

IMAP Says The Connection Failed

The message is Connection failed. Check host, port, encryption, and credentials. In order: confirm you used an App Password where one is required, try the other port and encryption pair, and confirm IMAP is actually enabled in your mail provider's settings. Gmail needs Enable IMAP turned on under Forwarding And POP/IMAP.

The Page Says The IMAP Extension Is Not Enabled

A banner reading The IMAP extension is not enabled on this server yet, so mailboxes can't be polled means this is not something you can fix from your account. Use Forward Email in the meantime and contact support.

Somebody Saw Your Private Address

Under Your Private Forwarding Address there is a link reading Seen By Someone It Should Not Have Been? Issue A New Address. Issuing a new one immediately stops the old one working, so update your forwarding rule straight afterward or registrations will stop arriving.
