Understanding Flows

What a Notification Flow is, what ships switched on, and how people get into one.

Last updated October 22, 2026

A Notification Flow is the ordered list of reminders OPVII sends around an event. This explains what you already have, how people get into it, and where to watch it run. You do not need to build one to get started: a working flow ships switched on.

Where To Find Them

In the sidebar, under Messaging, click Notification Flows. The page explains itself in a panel headed What Is A Flow?

What You Already Have

Every new workspace ships with a flow named Default Event Drip. It is already switched on, already the trigger flow, and set to send both a text and an email at each step. Its five reminders are:

  • 7 days before the event
  • 4 days before the event
  • 1 day before the event
  • 2 hours before the event
  • A thank-you 24 hours after the event

The default does not ask for feedback, because a feedback request only works once a Feedback Form is attached to the flow and a new workspace has none. If you want one, add the Post-Event Thank You & Feedback starter template.

How People Get Into A Flow

Exactly one flow in your workspace carries the New-Registration Trigger badge. When a registration arrives by any route, that person is enrolled into that flow automatically and their reminders are scheduled from that moment.

To move the badge to a different flow, open the flow and click Make This The Trigger Flow. A dialog warns that this replaces the current trigger flow; confirm with Make It The Trigger.

You can also put one person into any flow by hand: Contacts, click the contact, then the More Contact Actions menu, then Enroll In Flow.

Reading The Flows List

The table columns are Flow, Reminders, Enrolled and Status. Status is a toggle that reads On or Off; off means nothing from that flow sends. The row buttons are View Progress, Edit Flow, Make This The Trigger and Delete Flow.

Two Settings That Decide The Timing

These are easy to confuse, so they are worth separating.

  • When Should The Reminders Start? is set once per flow, and offers Count Down To The Event Date or As Soon As Someone Signs Up. It sets the starting point everything else is measured from.
  • Each individual reminder then has its own timing, written as a sentence: And Send It 7 Days Before The Event Date. See Editing Your Reminder Schedule.

One behavior to know: a reminder set a day or more before the event sends at 9:00 AM in your workspace timezone rather than at the event's own clock time. Reminders closer in, like 2 hours before, keep exact timing.

Starting From A Template

Click Start From A Template for nine ready-made flows, built instantly and fully editable:

  • Event Reminder Series
  • Event Drip (Starts 7 Days Out)
  • Event Drip (Starts 4 Days Out)
  • Short-Notice Event Drip
  • Confirmation & Directions
  • Last-Chance Reminder
  • Webinar Warm-Up
  • No-Show Win-Back
  • Post-Event Thank You & Feedback

Picking one creates the flow and its message wording together, then drops you into the editor. Nothing sends until you turn the flow on.

Watching A Flow Run

In the sidebar, under Seminars, click Progress. The page is titled Flow Progress and shows every flow with how many people are enrolled, how many are still moving, how many have finished, and when the next message is due. Click Open Board to read one flow top to bottom: every step with its timing, the headcount standing there, and the actual copy that goes out.

People whose flow was stopped are not on the board. They are reached from the Stopped chip at the top.

How To Tell It Worked

  • The flow's Status toggle reads On.
  • Exactly one flow carries the New-Registration Trigger badge.
  • Flow Progress shows a headcount and a next send time rather than Nothing Scheduled Yet.
  • Inbox, then the Sent tab, lists the queued messages.

If Something Goes Wrong

Nobody Is In The Flow

The board will read Nobody Is In This Flow Yet. People join when they register for an event the flow runs on. Check the flow carries the New-Registration Trigger badge, and that registrations are actually arriving on the Arrivals tab of the Connections page.

The Flow Says No Stages Yet, So Nothing Sends

The flow has no reminders in it. Open Edit Flow and add at least one.

Nothing Is Scheduled Even Though People Are Enrolled

Usually the event has no date, so there is nothing to count down to. The event page shows a This Event Has No Date Yet banner with a Set The Event Date button. Also check the Notifications On switch in the top bar.

You Cannot Delete A Flow

You will see This is your import-trigger flow. Set another flow as the trigger before deleting it. Make a different flow the trigger first.
