Editing Your Reminder Schedule

Change when each reminder goes out, add or remove one, and retime people already enrolled. It sits under Flows & Automations in the knowledge base. Editing Your Reminder Schedule

Change when each reminder goes out, add or remove one, and retime people already enrolled.

Last updated October 22, 2026

Use this when the shipped cadence does not suit your events: you want a reminder a week earlier, one fewer text, or a different send time for one person. Changing a flow takes about a minute.

Open The Flow For Editing

  1. In the sidebar, under Messaging, click Notification Flows.
  2. On the flow's row, click the pencil button, tooltipped Edit Flow. The page is titled Edit Your Flow.
  3. Scroll to the panel headed Your Reminders. Each reminder is one line, in the order they send. Click one to open it.

Change When A Reminder Sends

Timing is written as a sentence rather than a single field. The row begins with the words And Send It and is followed by four controls:

  1. A number.
  2. A unit: Minutes, Hours or Days.
  3. A direction: Before or After.
  4. A starting point: The Event Date or They Sign Up.

So a week's notice reads And Send It 7 Days Before The Event Date. Underneath, OPVII restates your choice in plain words, which is the quickest way to catch a mistake. Setting the number to 0 gives you Right When The Event Begins.

There is no field called Delay and none called Days Before. It is always these four controls.

Add, Remove And Reorder

  • Add Another Reminder is at the bottom of the panel. A new reminder needs a message chosen under Send The Message, or it will show as No message chosen yet.
  • Up and Down on each card move it earlier or later.
  • Remove deletes that reminder from the flow.
  • Nickname (Optional) is a label for you, not for attendees. Something like The Day Before makes the list readable.

When you are done, click Save Changes. You should see Flow updated.

The Send Hour, Which Surprises People

A reminder set a day or more before the event does not send at the event's clock time. It sends at 9:00 AM in your workspace timezone, so a 7-days-before reminder for a 6:00 PM seminar lands on the morning seven days out rather than at six in the evening. Reminders closer in than a day, like 2 hours before, keep exact timing.

Quiet hours apply on top of this. A message that would land outside your window is held and sent at the start of the next one, never dropped. See Quiet Hours.

People Already Enrolled Keep Their Old Times

This is the part that catches people out. Editing a flow changes what happens to future enrollments. Anybody already moving through it keeps the send times they were given when they joined.

To bring them onto the new schedule:

  1. In the sidebar, under Seminars, click Progress.
  2. On your flow, click Open Board, then Manage Attendees.
  3. Tick the people to retime, or the select-all box.
  4. Click Fix Times and confirm with Reset To Schedule.

Each selected person's next send moves to whatever their current stage says it should be, including the morning send hour. Stages timed to the event itself are already correct and stay put. Nothing sends as a result of doing this.

Move One Person's Next Message

On the same Manage Attendees screen, the time in the Next column is itself the button, tooltipped Change The Next Send Time. It opens Next Send Time with a field labeled Send This Phase At, entered in your business timezone. Click Save Time.

Only reminders set days before the event can be moved. Anything timed to the event itself is locked, tooltipped Timed To The Event Itself, Not Editable.

How To Tell It Worked

  • The toast reads Flow updated.
  • Reopening the flow shows your new timing, and the plain-words line under each reminder matches what you intended.
  • On Flow Progress, the Next Send time has moved.
  • On Manage Attendees, nobody carries an Off Schedule chip.

If Something Goes Wrong

You Cannot Save The Flow

Every reminder needs a message attached and a complete timing sentence. Look for a reminder reading No message chosen yet. If the picker is empty, you have no message templates yet: the form says You Don't Have Any Text Messages Yet. Create One On The Templates Page First. See Customizing Message Templates.

Somebody Shows An Off Schedule Chip

Their next send does not match what the flow now says, which is normal after an edit. Hover it to see what the flow says, then use Fix Times to reset them.

A Send Time Will Not Save

Three refusals you may hit: Pick A Time In The Future., This Phase Is Timed To The Event Itself, So Its Send Time Cannot Be Moved., and a message telling you the time is at or after the next stage and asking for an earlier one. Reminders have to stay in order.

Your Changes Had No Effect On Existing Attendees

That is expected. Use Fix Times as described above.
