Creating And Managing Events

Create an event, edit its details, and move registrations between events.

Last updated October 22, 2026

Events are what everything else hangs off: registrations attach to one, and reminders count down to its date. This covers creating one, changing it later, and moving people between events.

Create An Event

  1. In the sidebar, under Seminars, click Events.
  2. Click New Event. A dialog titled Add A New Event opens.
  3. Fill in the fields. Event Title is the only one that is required.
    • Event Title
    • Date & Time
    • City
    • Address / Venue
  4. Click Create Event.

You should see Event created. There is no separate create page: events are created and edited in dialogs.

You can also create one from the calendar. Switch the view toggle from List to Calendar and click a day, which opens the same dialog with that date filled in.

Set The Date Now If You Can

An event with no date cannot schedule reminders. It is allowed, and it shows a banner reading This Event Has No Date Yet with the note Reminders Schedule Automatically Once A Date Is Set. and a Set The Event Date button. Reminders are scheduled the moment you give it one.

About Timezones

There is no timezone field on an event. The date and time you type are treated as wall-clock time in your workspace timezone, which you set under Settings, then the Messaging tab. Set that correctly before you create events.

Edit An Event

  1. Open the event by clicking its title in the Event column.
  2. Click the More Event Actions button beside the header, then Edit Event.
  3. Change what you need and click Save Changes.

The edit dialog carries more than the create one:

  • Title, required.
  • Start Date & Time and End Time. End time is optional and just sets the duration.
  • City and Location.
  • Capacity. Leave it blank for unlimited. Setting it drives the Seats Left tile and the occupancy meter.
  • Buy Units and Appointments, for recording what the event produced.
  • Status: Scheduled, Completed or Cancelled.
  • Assigned To, which appears only once your workspace has more than one person in it.

You should see Event Updated.

Reading The Events List

The columns are Event, When, Status, Attended, Registered and Rate. Search the list with the box placeholdered Search Title Or City… and click Search.

Registered counts heads, not bookings. One registrant bringing two guests counts as three, and cancellations are taken out. The roster panel on the event is the one place that shows bookings instead: its header reads Registrants (12 · 15 Attending), where the first number is rows and the second is heads.

The right-hand rail is worth using. Next Up gives you your soonest event with an Open Check-In button, and Waiting On You lists past events whose attendance you have not recorded, badged Not Marked.

The Event Page At A Glance

The four tiles across the top are:

  • Expected, the heads you expect in the room, everyone attending plus the guests they are bringing.
  • Confirmed, the people who told you yes when asked the day before.
  • Attended, the heads actually counted in the room.
  • Seats Left, capacity less the seats taken.

Below them are two tabs, Roster and Appointments, and further down a Details panel with the occupancy meter, guest and opt-out counts, and the event's facts.

Move Registrations To Another Event

Use this when a date slips or somebody asks to come another time.

  1. Open the event and stay on the Roster tab.
  2. Tick the people to move. A blue strip appears in the roster header.
  3. Click Move.
  4. In the dialog, choose Existing Event and pick one, or New Date and give a Date, optionally a Time, Title, City and Venue. If an event with that title already exists on that day they are moved into it; otherwise it is created.
  5. Click Move.

Their guest count, party size and reminder flow move with them, the old seat is freed, and no email is sent. To move one person, open their contact record instead and use the Move To Another Event button on the registration row.

Message Everybody On An Event

Click Message Attendees on the event header. Message Type offers Cancel Event, Running Late, Emergency and Custom, and Send Via offers Text, Email or Both. Click Send Broadcast. Note that an emergency broadcast is sent regardless of quiet hours.

Delete An Event

From the event, use More Event Actions, then Delete Event. From the list, tick events and click Delete Selected. Both ask you to confirm and cannot be undone.

How To Tell It Worked

  • The event appears in the list with the right date under When.
  • Its Status badge is not No Date Set.
  • Registrations arriving for it appear on the Roster tab.
  • Progress shows people enrolled with a scheduled next send.

If Something Goes Wrong

Reminders Are Not Scheduling

Check the event has a date, that it is not Cancelled, and that the Notifications On switch in the top bar is on.

The Time Is An Hour Or Several Out

Your workspace timezone is wrong. Fix it under Settings, then Messaging. The hint under the Timezone field shows your current time, which makes it easy to confirm.

Registered Does Not Match The Number Of People On The Roster

That is the heads-versus-bookings difference described above. The roster header shows both numbers.

A Registration Arrived On The Wrong Event

Events are matched by title and date, so a confirmation whose wording differs can land on a new event instead. Use Move to put the person on the right one, then delete the stray event.

Nothing Moved

You will see Nothing Moved. They May Already Be On That Event. or Nothing Was Selected To Move. Check your selection and the destination.
