Marking Attendance

Two ways to record who showed up, and what the number feeds once you have.

Last updated October 22, 2026

Attendance is the number that tells you whether your reminders are working, and it is what builds your no-show list. There are two ways to record it: the roster, for working through a list, and the report page, for counting a room quickly.

Route A: The Roster

Best when you want per-person detail, or you are correcting a few rows.

  1. In the sidebar, under Seminars, click Events.
  2. Click the event's title. You can also use Open Check-In in the Next Up rail for your soonest event.
  3. Stay on the Roster tab, which is the default.
  4. On each person's row, open the status dropdown and choose Attended.
  5. If somebody brought guests, a small number box appears once they are marked attended, reading Of 3 Showed. Put in how many of the party actually came.
  6. Click Save Statuses in the bar at the bottom.

You should see Attendee Statuses Saved.

The checkboxes on the roster are for selecting rows, not for marking attendance. To set many rows at once, tick them, choose a status under Set To in the blue strip, and click Apply. Apply only sets the dropdowns on screen, so you still have to click Save Statuses afterward.

The Five Statuses

  • Attending, the default for a new registration
  • Attended
  • Maybe
  • Not Going
  • No Show

The contact record's own registration list offers a shorter set, Registered, Attended and Cancelled. The event roster is the fuller one.

Route B: The Report Page

This is the screen emailed to the host the morning after an event, and it is built for speed.

  1. Open the event and click Report Attendance in the header. Once you have reported, the same button reads Change Attendance.
  2. The page is titled Who Was In The Room?
  3. Use All Came or All No Show to set every row at once, then fix the exceptions.
  4. On each row, pick Came or No Show, and adjust Heads if a party turned up short.
  5. Flip the Booked toggle on anybody who set an appointment in the room.
  6. Fill in the boxes at the bottom: Walk-Ins for people who came without registering, Total In The Room, which adds itself up but can be typed over, Buy Units and Appointments.
  7. Put your name in Your Name and click Save The Numbers.

The page confirms inline, reading like Saved. 34 in the room, 11 no shows on your win-back list. Change anything below and save it again.

Two things to know about this page. Anybody left unticked saves as a no show. And nothing is sent to your guests either way, so there is no risk in saving it twice.

Where The Number Shows Up

  • Attended, a tile on the event page.
  • Attended and Rate, columns on the Events list.
  • Analytics and Monthly Reports.
  • Your no-show list, reached from No-Shows in the Events page header, which is what the win-back invitation sends to.

Typing The Numbers In Directly

When you only have a headcount and no list, use The Numbers on the event header. Its sub-line reads Typed In, Not Counted. Empty A Box To Count It Again. and it holds Registered, Attended, Buy Units and Appointments. A typed-in value overrides the roster, and clearing the box returns to counting the roster. Click Save The Numbers.

Because an override hides what the roster says, prefer the roster or the report page when you do have a list.

How To Tell It Worked

  • The toast or the inline confirmation appears.
  • The Attended tile on the event shows your number.
  • On the Events list, the event's Status badge changes from Not Marked to Done.
  • The event drops off the Waiting On You rail.

If Something Goes Wrong

Your Statuses Did Not Stick

The most common cause is using Apply on the bulk strip and then leaving the page. Apply only changes the dropdowns in your browser. Click Save Statuses.

The Attended Number Is Not Changing

Check for an attendance override. Open The Numbers: if Attended has a value typed in, the hint reads The Guest List Is Ignored While This Is Set. Empty The Box To Use It Again. Clear it.

Registered Is Higher Than The Rows On The Roster

Registered counts heads including guests, not bookings. The roster header shows both: Registrants (12 · 15 Attending).

The Event Shows Inconclusive

It is badged Inconclusive Data and Not Counted In Reports, which means the attendance figure is not trustworthy enough to report on. Record it properly through the roster or the report page.

Nobody Was Registered

The report page says Nobody Was Registered and tells you there is no guest list to tick, so put the headcount straight into the boxes at the bottom.
